New in Breeze: Form Emails & Separators, Archive Search

By Lucas on Mar 14

Breeze just got a little better with some handy new features to keep your projects organized and running smoothly. We've added new email notifications for project forms, a separator field to better structure forms, and a search function for project and card archives.

These updates make it easier to stay on top of form submissions, organize project data, and quickly find old tasks when you need them. No extra complexity—just simple improvements to help your workflow.

Here's a quick look at what's new and how you can start using these features today.

1. New email notifications for project forms

Staying updated on form submissions just got easier. With the new email notifications, you'll get an instant alert whenever someone fills out a project form in Breeze. No more checking manually or missing important updates—just a quick email letting you know when a submission comes in.

This is especially useful for teams handling requests, approvals, or feedback through project forms. You'll always be in the loop, ensuring faster responses and smoother workflows.

How to enable it:

  • Go to your project form settings.
  • Select users who should receive the email notifications.
  • Save your changes, and you're all set!

Now, every time a form is submitted, you'll know right away. Simple and effective.

Other ways to receive form submission notifications

In addition to email notifications, there are two other ways to stay informed about new form submissions in Breeze:

1. Subscribe to task list updates

You can use the "subscribe" feature on a task list to keep specific users updated. When you subscribe users to a task list, they will receive an email notification every time a new task is created via the form. Additionally, they'll continue receiving updates if the task is modified while it remains in the list.

2. Automate notifications with task assignment

Take advantage of Breeze's automation feature to trigger notifications. Set up an automation rule so that when a new task is added to a specific list via a form, it is automatically assigned to a user. This will trigger the "task assigned to user" email notification, ensuring that the right person is alerted as soon as the task is created.

These options give you more flexibility in how you and your team receive updates, making sure nothing falls through the cracks.

2. New separator field to better structure forms

Forms can quickly get cluttered, especially when collecting a lot of information. The new separator field in Breeze helps you organize forms into clear sections, making them easier to read and fill out.

Project form separator

With this feature, you can add visual dividers between different parts of a form. This is great for:

  • Grouping related questions together.
  • Breaking long forms into sections for better readability.
  • Providing instructions or context between fields.

How to use it:

  1. Go to your project form editor.
  2. Add a new question and select the Separator option from the question type dropdown.
  3. Label it (optional) to add context between sections.

You can drag and drop the separator field to change its position. Drag and drop works for all question types.

This small but useful addition makes it easier for teams and clients to navigate forms, ensuring better responses and smoother workflows.

3. Search function for project and card archives

Finding old projects and tasks just got a whole lot easier! Breeze now includes a search function for project and card archives, so you can quickly locate past work without endless scrolling.

Previously, once a project or card was archived, retrieving it meant manually scanning through lists.

How to use it:

  1. Go to the Archives section in the projects or cards.
  2. Click on the search icon in the top right corner.
  3. Enter a keyword or name in the search.
  4. Click on the relevant result to view or restore it.
Task archive search

Whether you need to reference an old project, restore a completed task, or revisit past work, the new search feature makes it simple and fast. No more digging through endless lists—just type, search, and find.

These new Breeze features are all about making project management smoother and more efficient. With email notifications for project forms, you'll never miss a submission. The separator field helps you create cleaner, more structured forms. And with the search function for project and card archives, finding past work is now quick and hassle-free.

Give these updates a try and see how they fit into your workflow. As always, we'd love to hear your feedback—let us know what you think and if there's anything else that could make Breeze even better.
